Seasonal Yacht Club Administrator

Position Summary
The Yacht Club Administrator supports the operation with all administrative functions including but not limited to customer service, contract management, accounting, inventory management and staff support. This position is generally Monday to Friday but flexibility may be required at times.
What will you be doing?
You are responsible for performing the following tasks to the highest standards:
Customer Service
- Handle customer questions, comments, suggestions, and complaints
- Communicate with members verbally and in writing
- Assist retail associates with rentals and merchandise during peak times
- Assist with Promotions/Special Events to build strong community relationships and improve sales
- Ensure moorage agreements are in place and paid
- Ensure rental agreements, check in/our forms and waivers are in place
- Ensure proper completion and filing of all agreements and documentation
- Manage the POS system and till operations
- Process cash payments and ensure proper cash out procedures are followed
- Audit daily cash out before submitting to accounting
- Resolve cash / gas discrepancies
- Calculate and distribute staff gratuities
- Ensure appropriate stock of CREW merchandise
- Ensure appropriate stock of First Aid Supplies
- Maintain office supply inventory and place orders as needed
- Helps develop and implement policies and procedures for the Yacht Club staff
- Ensure compliance with onboarding and training plan of seasonal staff
- Prepare the schedule based on operational requirements, weather forecast, and staff availability
- Liaise with HR re hours re timekeeping and payroll
- Prepare the staff cleaning schedule and ensure compliance
- Assist with the completion of incident reports and WorkSafe BC claim forms
- Assist with the coordination of staff appreciation initiatives
- Other related duties and tasks as assigned by the Director of Operations – Yacht Club and/or Eldorado Resort General Manager
To successfully fill this role, you should demonstrate the following:
- Excellent attention to detail
- Proficient with Microsoft Office Suite
- Proven ability to set up administrative processes and procedures
- Able to build strong relationships with marina members, staff members and guests
- Ability to handle confidential and sensitive information with tact and discretion
- Ability to work independently and manage work on multiple tasks
- Strong communication and interpersonal skills
