Position Summary:
The Sales Coordinator will be responsible for general office duties, events support & tradeshow planning, client site tours, sponsorship & donation management, and marketing support.
What will you be doing?
Reporting to the Director of Sales, you are responsible for performing the following tasks to the highest standards:
- Meets with clients in the absence of the Director of Sales or Sales Managers to convey details of the sale effectively and professionally to the client.
- Ensures all documents produced by the Sales Department (i.e. BEO’s, contracts, rooming lists, proposals) are completed accurately and on time.
- When required, conduct site inspections with clients, showcasing all facilities that Eldorado Resort has to offer.
- Participation in site tours, FAMS, industry events, sales blitzes and client entertainment as required.
- Acts as the “gatekeeper” for the Sales & Catering Department, answering all incoming phone calls and emails for Eldorado Resort and directing to the appropriate Sales, Conference Services Team Member.
- Maintain a database of all inquiries and leads with a goal of consistent and timely follow up.
- Although primary focus for bookings and coordination is for Eldorado Resort, when a group, meeting or event is not able to be accommodated or the fit is better suited for our sister properties, ensure that referrals are being made.
- Maintaining an inventory of all promotional supplies and collateral.
- Coordination of sales trips for Sales Managers attending trade shows & community events – tradeshow packing & post return completion.
- Execute the Group pass over process, ensuring all required documentation is in place and accurate prior to transferring the file to Conference Services.
- Manages merge documents and custom reports from the Opera Sales & Catering System and becomes the property’s Opera champion ensuring data is entered correctly, reports are created and accurate.
- Copying and distributing evening reports and internal correspondence.
- Ensures communication is consistent between Sales Team & all other hotel departments.
- Assist with direct mail campaigns.
- Pickup supplies for FAM’s, VIP guests, etc.
- Tradeshow packing and post return completion, including e-blasts and mailouts.
- Prepare blitz, sales and media kits as required.
- Responsible for sales support and general office duties including stationary order for Sales Department.
- Completes all daily, weekly and monthly reports.
- Responsible for the highest standards of conduct, integrity and ethics of yourself or any other department and reporting any complaints, concerns or irregularities directly to the Director of Sales & Marketing or General Manager.
- Maintain the office files and keep the office area in an orderly manner as per Health & Safety standards.
- Oversee donation/sponsorship requests and the fulfillment.
- Other duties as assigned by Director of Sales & Marketing and General Manager
- Must have hotel/resort Sales experience to understand operations.
- Must possess excellent communication skills, both written and oral.
- Must be organized and detail-oriented, able to multi-task and prioritize.
- Must have excellent typing skills and accuracy.
- Computer literate in the following programs: Windows, Excel, Word, Internet,
- Understanding of Opera PMS and Sales & Catering systems an asset.
- Able to work in an open office setting.
- Willingness to contribute to a flexible team atmosphere.
- Ability to listen, ask questions, adapt information and address problems quickly
- and efficiently.
- Must be organized, responsible and flexible to work in a fast paced, often demanding environment.
- Must be friendly, outgoing and enjoy meeting new people in a professional manner.
- Must be legally entitled to work in Canada without restriction.
