Position Summary:
The Resort Administrator provides administrative and operational support across multiple departments, working closely with the General Manager, Food & Beverage Director, and Human Resources team. This role is ideal for an organized, detail-oriented professional who thrives in a hospitality environment and enjoys wearing multiple hats. The Resort Administrator helps ensure smooth daily operations by assisting with basic administrative tasks, coordination, documentation, and internal communication.
What will you be doing?
You will be responsible for performing the following duties to the highest standard:
Administrative Support
- Assist the General Manager, Food & Beverage, and Human Resources departments with day-to-day administrative tasks
- Coordinate internal meetings, prepare agendas and materials
- Document meeting minutes for distribution and follow up on action items
- Maintain organized digital filing systems and administrative records
- Monitor and order office supplies, stationery, and equipment, ensuring adequate stock and functionality
- Order business cards and other stationery as needed
- Support special projects and initiatives as assigned
- Manage parking registrations and tickets for associates
- Run errands off property as required
- Other duties as required
Human Resources Support
- Assist with onboarding and offboarding documentation
- Scan, save, and maintain confidential employee files
- Track employee certifications, training records, and other HR-related metrics
Food & Beverage Support
- Assist Food & Beverage departments with inventory counts and updating outlet systems
- Maintain organized departmental files, SOPs, and operational records
- Assist with printing menus, distributing sales reports, and forwarding invoices
Communication & Compliance
- Draft and distribute internal communications, memos, and announcements
- Support the implementation of hotel policies, standards, and procedures related to administrative functions
- Handle incoming calls, emails, and requests with professionalism and discretion
What are we looking for?
To successfully fill this role, you should demonstrate the following:
- Previous administrative or office support experience (hospitality experience preferred)
- Strong organizational, time-management, and multitasking skills
- High attention to detail and accuracy
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office; experience with Canva, Squirrel, Moneris, OpenTable, and Optimum Control is an asset
- Ability to handle confidential information with discretion and professionalism
- Flexible, proactive, and comfortable working in a fast-paced environment
- Team-oriented with a positive, service-focused attitude
